Terms of Service

1 · Who these terms are with

These terms are between you and VisaOS™ OÜ, which operates VisaOS. In these terms “VisaOS”, “we” and “us” mean the operator. Contact routes are published on Legal information. By creating an account you agree to these terms.

2 · Minimum age

You must be at least 18 years old to register or hold an account. If we learn that an account belongs to someone under 18 we will close it.

3 · Your account

You register with an email address you control. Keep your credentials confidential, do not share or resell access, and tell us promptly at help@visa-os.com if you believe someone else has reached your account. You are responsible for activity carried out through it.

4 · Permitted use

VisaOS is for preparing genuine visa applications — your own, or one you are properly authorised to prepare. Use of the service is also subject to the Acceptable Use Policy, which forms part of these terms.

5 · Accuracy of your information

The information you enter must be accurate and complete to the best of your knowledge. VisaOS works from what you tell it; an application built on inaccurate answers will be inaccurate, and we cannot detect what we are not shown.

6 · Genuine evidence

Every document you file must be genuine, unaltered and lawfully obtained. Forged, edited or fraudulently acquired evidence is an immediate and serious breach of these terms. Consequences for you personally, in the country you are applying to, can last for years.

7 · Uploaded content and third-party information

You keep ownership of everything you file. Where your application contains information about another person — a spouse, a child, an employer or a client — you confirm that you are entitled to provide it, and that you have their permission where permission is required.

8 · What the service is

VisaOS provides a workspace for preparing a visa application: qualification, guided sections, document filing, drafting assisted by Application Intelligence™, VisaOS Coach™, Final Review, and Export of an application pack that you submit yourself.

Application Intelligence™ is the reasoning layer that works out which requirements apply to you and what your application still needs. VisaOS Coach™ is the AI-assisted interface you ask questions of. Both are described in full on How VisaOS uses Application Intelligence™.

9 · Drafts, narratives and your review

Narratives produced by VisaOS are drafts for your review. AI-assisted systems can be wrong, can misread a document and can miss nuance. You must read every draft before approving it, and you are responsible for the accuracy of what you approve and submit. Nothing enters your application pack without your approval.

10 · What the service is not

• VisaOS is not a law firm and does not provide legal or immigration advice.
• VisaOS is not a government service and is not part of, endorsed by or affiliated with any government, embassy or consulate.
• VisaOS does not submit applications, attend appointments or communicate with any authority on your behalf.
• VisaOS does not guarantee your eligibility, the acceptance of your application, or approval of a visa. No outcome is promised.

Requirements set by your selected embassy or consulate can change at short notice and without warning to us. You are responsible for checking the current official requirements, meeting deadlines, and making the official submission yourself.

11 · Payment, taxes and currency

Preparing an application is free. A one-off fee is payable to export a completed application pack, and the amount and currency are shown before you pay. Payment is taken by Stripe or PayPal. Prices are inclusive of applicable taxes where we are required to charge them; your payment provider may apply its own conversion or cross-border fees, which are outside our control.

12 · Refunds

Refunds are governed by the Refund and Cancellation Policy, which forms part of these terms. In summary: you may request a refund within 14 days of purchase provided you have not yet exported your first application pack, duplicate charges are refunded in full, and nothing in that policy limits your mandatory statutory rights.

13 · Intellectual property

VisaOS, the VisaOS name, Application Intelligence™, VisaOS Coach™, and the software, interfaces and content of the service belong to VisaOS or its licensors. You may use them only to prepare your application. You may not copy, resell, scrape or reverse-engineer the service, or present its output as your own professional immigration advice.

14 · Licence to your content

You grant VisaOS a limited, non-exclusive licence to store, process and display your answers and documents solely in order to provide the service to you — and for no other purpose. This licence ends when the content is deleted. It does not permit us to publish your content, sell it, or use your documents to train VisaOS models. Any such training would require a separate, explicit opt-in from you.

15 · Availability and maintenance

We aim to keep VisaOS available, accurate and current, and to give notice of planned maintenance where we reasonably can. We do not promise uninterrupted availability. We may change or improve the service, and will not withdraw something you have paid for without making your exported application pack available to you.

16 · Suspension, and termination

We may suspend or close an account where there is a serious or repeated breach of these terms or the Acceptable Use Policy, evidence of fraud or falsified documents, or a genuine risk to other users or to the service. We will explain our reasoning where we lawfully can, and where the breach is minor we will ask you to put it right first.

You may stop using VisaOS and delete your account at any time from the Privacy Centre.

17 · What deletion means

Deleting an application or your account removes it from active systems within 30 days, and residual encrypted backup copies expire within 90 days. Deletion cannot be undone and there is no recovery period — export what you need first. Records we are legally required to keep, such as payment and tax records, are described in the Privacy Notice.

18 · Liability

Nothing in these terms limits any liability that cannot lawfully be limited, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

Subject to that, VisaOS is not liable for the outcome of any visa application; for decisions, delays, fees or requirements imposed by an embassy, consulate or government; for losses arising from information you provided that was inaccurate or incomplete; or for your failure to review a draft before approving it.

19 · Your statutory rights as a consumer

If you are a consumer, you have rights under the law of your country of residence that these terms cannot remove or reduce. Nothing here affects those rights, and where any clause conflicts with them, your statutory rights prevail.

20 · Governing law

Nothing in these terms deprives you of the mandatory consumer protections available under the law of your country of residence, and those protections apply to this agreement in full.

21 · Resolving a dispute

Please write to help@visa-os.com first — most problems are resolved this way, and we would rather fix something than argue about it. If we cannot resolve it between us, you may bring a claim in the courts of your country of residence. We are not currently signed up to an alternative dispute resolution body, and nothing here affects your right to bring a claim.

22 · Changes to these terms

When we change these terms we update the version and dates at the top of this page. If a change materially affects you we will tell you before it takes effect, and continuing to use VisaOS after that date means you accept the change. If you do not, you may close your account.
